Accomplished Plans for the Period

Communication Workshop

On November 17, 2022, the Communication workshop was held to help IFSA members understand the guidelines of Commcomms 101 and IFSA Delegations and Meetings Social Media Reporting Guidelines.

The speakers were Desita Dyah D A Kusumaningrum, the current Head of Communication, and Isabelle Claire, the current Internal Councilor of IFSA.

Feedback form

Design update

More subtitles are added depending on the content received, and also, the open letter became simpler and more readable. 

Subscribers

Our subscribers have been increasing from 1084 in October to 1243 in January. 

 

  • News Factory Team Meeting

On the 23rd of December, the News Factory team met to discuss the points for improvement for the IFSA News Factory, as well as for the implementation of the CommComms101 request system. The revised News Factory form was released in January 2023.

 

Web

Changeover Meeting

In November, the new HoSC web, Mukhtar Abdulquadir, was appointed. The changeover call was done on December 11 with the HoC Communication. During the meeting, she explained in detail the tasks and responsibilities that need to be fulfilled by the HoSC. The newly appointed HoSC created a to-do list for the rest of the term, which includes: 

  • Completing the webpage for the tree-house Commission
  • Updating the donate a picture page
  • Editing the EFI- IFSA- IUFRO project page
  • Editing the About page
  • Updating and editing the partners and processes webpage
  • Editing the IFSA menu and adding LC project of the month.
  • Updating the Ifsa wheel
  • Transferring IFSA’s web hosting. 

 

Design

Changeover Meeting

On 27th of November 2022, the former HoSC Design had a changeover meeting with the new HoSC, Afeez Adewolu, where she explained the tasks and projects, such as the brand guidelines and IFSA wheel. The newly appointed HoSC created a to-do list for the rest of the term, which includes: 

  • Creation of design templates that will be accessible by all other IFSA  officials/members
  • Working closely with the communication department
  • Updating IFSA structure wheel 
  • Getting design request done as soon as possible
  • Have a mini project with the Head of Social Media SC for mini-quiz, bingo/this or that/etc. To maintain our member’s and audiences’ social media engagement.
  • Collaborating with Eylül, Head of TreeHouse Sub-Commission.

 

TreeHouse

Sub-Commission Meeting

The second sub-commission meeting was held on the 19th of November and attended by Eylül, HoSC TreeHouse Sub-Commission; Ao, HoC Communication; and Josefa, Communication Commissioner. The following were discussed during the meeting:

  • The term and conditions and feedback documents which were almost finished
  • Creating the promoting material and web design 
  • Making the design requests to the Head of Design and Web Sub-Commission  when the positions are obtained.

The third sub-commission meeting was held on the 23rd of December, where they discussed the changes made in the terms & conditions and feedback forms and how these can be displayed on the web page. 

 

TreeHouse Web Page Design Meeting

TreeHouse web page design meeting was held on the 23rd of December. During the meeting, the content and sections of the TreeHouse web page were discussed. The HoSC TreeHouse collaborated with the HoSC Web, and it is expected to finish in January.

 

Podcast

Changeover Session

The new HoSC Podcast, Emmanuel Ebunuluwa, was appointed. In October, they had The Head of Communication Comm. explained briefly about the task of the HoSC Podcast and suggested contacting Damiano Cilio, the previous HoSC to receive some sort of orientation based on his experience as the previous head of the podcast subcommission and get access information for the official spotify and anchor account. 

In the meeting process, a proposed work plan was formulated, which will still be reviewed. The work plan includes: 

  • Writing concept notes on this term podcast episodes
  • Making a series of episode on one theme or different theme per episode
  • Collaborating with any other sub-commissions, especially externals
  • Making an update on the web page https://ifsa.net/podcast/

Plans for the next bimonthly period

CommComms101 

A new section will be added to the Commcomms101 that explains Discord Requirements. Which are 1) How to create a channel, 2) How to create an event, and 3) How to add a new language channel.

News Factory 

We expect to get more news/opportunities in our updated news factory form.

Publishing of Brand Guidelines

Brand guidelines that were previously made by the design sub-commission will be published during the Capacity Building Workshop (CBW): Social Media and Design.

TreeHouse Sub-Commission

The plans of the TreeHouse SC for the next months include finishing the web page design; collaborating with Afeez, HoSC Design; preparing the presentation for the TreeHouse guidelines; and starting the promotion for TreeHouse.

Commission Meeting

The 2nd CDC meeting took place on the 13th of December 2022. The officials shared their sub-commissions’ updates and discussed about their plans for the upcoming month, including the Capacity Building Workshops and completion of the IFSA Strategy Indicators, among other tasks.

Capacity Building Workshop

The Capacity Building Workshop about Members’ Recruitment and Activity was held on the 10th of December 2022. Panelists Muhali Musa Olatunbosun (LC UNILORIN, Nigeria),Rafael Luna Reyes (LC CHAUPEA, Mexico), Yaasinta Salim (LC IPB, Indonesia), and Andželika Popstefanov & Ena Žarković (LC Belgrade, Serbia) shared their knowledge on how their LCs effectively recruit new members.

Carbon and Sustainability 

The second Sub-Commission meeting was held on December 7th with Misa Simkova as HoC Capacity Development. The topics that were discussed are related mainly to the commissioners’ open call process and concept note document, IFSA Sustainability Strategy’s first steps, collecting contact information to make the delegation´s trips carbon assessment, and the need for a better understanding of the online carbon assessment process. Besides, some conversations were held with the Heads of TreE-Learning and Forestry Education with the intention of creating a Webinar. Currently, that project is being developed alongside the External Department.

Gender 

Brainstorming session 

In November, the Gender Sub-Commission met with all its new commissioners in a first kick-off session for the term 2023. Several ideas, wishes, and motivations were shared and responsibilities were assigned. Among others, goals for this term are the translation of the Open Letter, collaboration with the TreE-Learning SC, and the development of a ‘toolkit’ on Gender Awareness. In addition, we decided on a bi-monthly meeting to keep up the great workflow and to keep us updated on the progress.

Short input at IFSS OC

 

The Gender Sub-Commission gave a short introduction on gender awareness in group working at a meeting of the IFSS Organising Committee. It was a great opportunity for exchange, knowledge transfer, and learning from each other. The presentation can be found here: Aware working groups

Language 

Language School

From November until December, we are focusing on Spanish School preparation and German School as well. Even Though German preparation hasn’t finished yet, we are still on track with Spanish School, so that we could run it on time. We have done the preparation such as the Timeline, Material (for Spanish School), Arranged the Pair, Held the 1st Gathering (Spanish School), etc. 

Forestry Education and Mentorship

We prepared the surveys to know the themes that the members want to learn, about the forestry topic (remote sensing, restoration, etc.) and professional profiles (Researcher, Entrepreneur, etc.). Now we are waiting for the post to be published on Social media.

Fundraising 

In November, the Fundraising SC looked at different funding programs, such as ERASMUS+ and IKI small and medium grants. However, the application requirements have become complex which is why the SC is planning to look for funding programs in the private sector.  The SC also created a flyer for sponsorships and working on an email template.

Report on Women’s Forest Congress

The report of the Women’s Forest Congress was sent out to the organizers as a thank-you for supporting our delegation and was published on the IFSA Website:

Report on FSC General Assembly

The report of the FSC General Assembly by in-person and online delegates was sent out to the FSC. The delegates are currently working on a shortened version that will be suitable for the IFSA website.

The Capacity Development Commission expanded its team by appointing the following commissioners:

  • Cynthia Gamboa and Elif Dübüs for Language Sub-Commission
  • Hanz Lawrenz Sorlla for TreE-Learning Sub-Commission

 

Plans for the next bimonthly period

Capacity Building Workshop

The next Capacity Building Workshop will be about Social Media and Design will take place via Zoom on the 28th of January 2023 (Saturday) at 2:00 PM (UTC+0) with panelists Hyginus Laari (CIFOR-ICRAF) and Chloe Abayao (Philippines) for social media, and Elif Duman (Estonia), and Dewanti Rahmaningtyas (Indonesia) for design. The workshop aims to share with IFSA members how to utilize social media and design in the context of IFSA.

Gender Sub-Commission

The plans of the Gender Sub-Commission include:

  • Kicking off bi-monthly meetings
  • Working on the current plan and ideas (e.g., concept notes and translation of Open Letter)
  • Scheduling meeting with TreE-Learning
  • Meeting with CIFOR for possible collaboration 

Language Sub-Commission

The plans of the Language Sub-Commission include:

  • Completing the Bi-Monthly Report for Nov-Dec
  • Starting the Spanish-English School 2023 in the first week on Monday, 16th of January 2023
